MISTRY SPORTS COACHING LTD – TERMS & CONDITIONS

These Terms and Conditions relate to Mistry Sports Coaching Ltd clubs and activities. Parents/guardians making a booking agree that they have read and understood all terms and conditions. Any queries should be cleared up before completing the booking.

1. GENERAL TERMS & ACCOUNT REGISTRATION

  • Account Setup: Parents/guardians must create an account and ensure all children are fully registered under their profile at mistrysportscoaching.com.
  • Safeguarding & Attendance: For safety, child protection, and register management, no child will be permitted to join any club unless they are fully registered and booked onto our online system.
  • Unbooked / Emergency Attendance: If a child is registered on the system but not booked online, or if the school office has been formally notified on the day, a £2.50 administrative fee will apply(which will be emailed directly to you). Unregistered children will be directed to the school office.
  • Childcare Vouchers & Funding: Mistry Sports Coaching Ltd does not currently accept government funding or childcare vouchers, though we are actively exploring this for the near future.

2. BREAKFAST CLUB TERMS & CONDITIONS

  • Hours: Breakfast club runs from 7:30am until 8:45am. Children will not be accepted into the Breakfast Club prior to 7:30am.
  • Payment: Full payment is required in advance via our online booking system prior to attendance, whether attending for the full session or part of a session.
  • Unbooked / Drop-in Fee: If a child is registered on the system but dropped off without being booked online in advance, an additional £2.50 administrative fee will apply, which will be emailed directly to you.
  • School Closures: Breakfast club will not run on days the school is closed to pupils. Parents/guardians will not be charged for scheduled closure days.
  • Outstanding Payment: Mistry Sports Coaching Ltd reserves the right to refuse any child entry into the club if payment has not been cleared.

3. AFTER SCHOOL CLUB TERMS & CONDITIONS

  • Capacity: Places are limited per club (e.g., 20 places). Once capacity is reached, the club is full and no further pupils can be accepted.
  • Booking Structure: Parents are kindly requested to book for the full half-term where possible to ensure accurate staffing. Ad-hoc (single-day) bookings are available subject to space and availability.
  • Correct Option Selection: Parents/guardians must ensure they select the correct session times and options when booking (e.g., 1-hour session from 3:20pm–4:20pm at £5.00).
  • Collection: Parents can collect children at any time before the scheduled ending time.
  • Absences & Notifications: If your child is unable to attend a session, you must notify Mistry Sports Coaching Ltd as well as the school office.

4. CANCELLATIONS, REFUNDS & CREDITS

  • Notice Period: Cancellations must be made at least 24 hours prior to the session start time to qualify for a credit.
  • Credit Issuance: Eligible credits for cancellations made with 24+ hours’ notice will be issued as a digital coupon code emailed to you at the end of each term to use against future bookings.
  • Late Cancellations: Cancellations made within 24 hours of the session start time are non-refundable and non-creditable.

5. LATE COLLECTION POLICY Prompt pick-up is mandatory to maintain required staffing ratios and operational compliance.

  • Authorised Pick-up: Children will only be released to designated adults listed during registration. Mistry Sports Coaching Ltd must be notified of alternative arrangements by contacting the school office or emailing admin@mistrysportscoaching.com.
  • Grace Period & Late Fees: We offer a 10-minute grace period after the scheduled club end time for unexpected delays. Collections made more than 10 minutes past the session end time will incur a late fee of £2.50 per 15 minutes (or part thereof), calculated from the original session finish time to cover extended staffing costs.
  • Scope: Late charges apply strictly to overdue pick-ups at session end and cannot be used to purchase additional care hours.
  • Repeat Occurrences: A reminder is issued on the first late collection. Subsequent late collections will automatically trigger the late charge applied to your account. Mistry Sports Coaching Ltd reserves the right to cancel care for recurring late pick-ups.

6. BEHAVIOUR & SERVICE QUALITY

  • Mistry Sports Coaching Ltd aims to provide a safe, stimulating, and happy environment for all children. Staff reserve the right to exclude any child whose behaviour is disruptive, in accordance with the school’s behaviour policy.
